OncoEHR ICMD – Intelligent Classification of Medical Documents

We are excited about the creation of oncoEHR ICMD (Intelligent Classification of Medical Documents), another innovative feature of oncoEHR that enables the automated insertion of medical documents into the patient’s record, leveraging the power of AI.

Through ICMD, any user can forward emails to oncoEHR containing files with medical information (e.g. pdfs with opinions, findings or medical examinations) and the system will only “understand” details such as the patient’s name, type and date of the document and automatically “upload” and enter it into the correct patient file.

The value of ICMD in facilitating and saving time for oncoEHR users becomes evident with the following comparison:

Importing documents without ICMD:

As the majority of patients’ medical documents now come to the oncology centre via email, typically sent by the patient/caregiver, the diagnostic centre or a third party physician, the following laborious manual process is required to import the attached documents into the medical record software:

  1. Receiving and ‘opening’ the email
  2. “downloading” the attachment(s) (e.g. pdf) locally to the user’s computer
  3. “Open and read each file by the user in order to determine the type of document and to which patient it relates
  4. Searching and selecting the patient’s file in the oncology file software
  5. Selection of the correct ‘screen – subsystem’ on which the medical document will be inserted
  6.  “Import” (upload) the file into the software. In fact, sometimes it is not easy here to find where the file is stored on the computer!
  7. Entering relevant data into the program either by typing or by copy-paste, which however is not always easy or feasible.

It is easy to see that the above sequence of steps is both error-prone and, above all, very time-consuming in cases where it has to be repeated dozens of times a day.Importing documents with ICMD:
1. Forward the email to a special secure email address, different for each clinic
2. The system automatically processes, categorizes and extracts information from the document contained in the email
3. All automatically processed documents are aggregated and presented in a new dedicated oncoEHR screen to the user, who performs an optional check and gives the OK for automatic entry.

Version .9.2, EOPE Chemo Templates

What’s new on oncoEHR
Dear users,
This version includes 200+ draft chemo scheme templates, which are based on EOPE 7th and 8th edition manual.
It is a new experimental feature that we invite you to try. Please note that the schemes ARE NOT VERIFIED BY A CLINICAL ONGOLOGIST. In addition there may be some unknown issues.

Other important improvements added:

  • AJCC calculator: an easy to use guided calculator to get the disease stage based on TNM selections and
  • Users can now modify the files list in HRCs such as Findings and Other Reports, Other files and Imaging Data.

What’s new on oncoEHR
Dear users,
This minor version includes an improved DICOM uploader which scans submitted files for original dicom data. Non-dicom files are ignored.
New fields added:

  • Findings and other reports HRC can now be printed.

oncoEHR .9.0 Release Now Available

Version .9.0, Chemo update

What’s new on oncoEHR
Dear users,
This version includes a drastic redesign of oncoEHR Chemo subsystem and other minor fixes and improvements.
New fields added:

  • Chemo template (scheme) editing is now focused on chemo days. Modify any date by adding regiments and instructions
  • Mark each drastic substance as pre-, main- or post- therapy
  • Define administration time and allow ordering of substances
  • Duplicate, copy and move chemo days
  • Introduced maintenance therapy cycles: Continuous chemo templates now includes the “common” strictly defined cycles and the maintenance therapy cycles which can be continuously applied to the patient
  • Added new overview displays of chemo template: table view, substances view and daily view
  • Added new polished print-outs and reports for chemo templates and chemo treatments
  • Treatments’ history page allow ordering of treatments by date: ascending or descending
  • Define user’s HDIKA credentials and retrieve patient’s demographics from e-Prescription database

What’s new on oncoEHR
Dear users, 
Current minor version introduces cancer metastasis information in staging health record control and some other userful input controls. Some minor bugs are fixed and user experience is improved!

New fields added:

  • Cause of death and Death related to cancer (in Patient Profile form)
  • Stop monitoring date and Stop monitoring reason (in Patient Profile form). You can use this field to filter patients list and exclude patients which you don’t treat/monitor any more.
  • Metastasis information in Staging HRC
  • You can now explicitly state “No family issues” in Family History HRC
  • Age of problem field in Family History HRC
  • Assisted human reproduction checkbox in Gynecology HRC
  • You can now explicitly state “no addiction” (Smoke, Alcohol, etc) in Social History and Addictions HRC
